Mechanical Installer: providing digital handover information for installed equipment

Review copyDRAFT – working copy; not for client issue.

The scenario

A self-employed plumber running a small business has been appointed as a subcontractor to install heating equipment, including boilers, pumps and valves, on the extension and refurbishment of a post-primary school: a €14 million public project for an Education and Training Board. The plumber is experienced in installing and commissioning mechanical systems but new to formal digital information management. The main contractor requires installation records, product information, commissioning results, warranties and maintenance documentation in an agreed format through the project's . The plumber needs a simple, low-cost workflow to deliver complete handover information for every installed item, without extra software or specialist staff, ready for authorization by the main contractor and acceptance by the client by July 2027.

What success looks like

Handover information for every installed item is complete, in the agreed format and submitted through the project's CDE, without extra software or specialist staff.

How you will know

  • The information required for each item of equipment is known before installation starts.
  • Installation details and photographs are captured on site with a phone or tablet.
  • Product, commissioning, warranty and maintenance records are organised in the agreed format.
  • Compliance records and certificates are provided with the handover information.
  • Information is submitted through the project's CDE without repeated requests for missing items.

By 01/07/2027.

In one sentence

A Mechanical Installer, when the main contractor requires installation, commissioning and maintenance information to be submitted digitally through the project's CDE, must provide the digital handover information for installed heating equipment.

Supporting materials

This project information standard provides spreadsheet templates and guidance for naming project information in accordance with the Irish National Annex to ISO 19650-2. The support includes the core file-naming workbook, a hyperlink checker, a presentation and a demonstration.

Standard · XLSX

Support the implementation of standard file naming conventions for mechanical handover deliverables.

Provides practical spreadsheet templates, instructions, and demonstration videos tailored to the Irish National Annex of ISO 19650-2, enabling trade subcontractors to generate compliant names without dedicated BIM software.

Included resources

This technology evaluation method provides a structured and transparent approach for assessing digital tools that support Information Management and Building Information Modelling (BIM). It establishes consistent criteria for evaluating functionality, interoperability, usability, compliance with standards such as ISO 19650, and alignment with organisational needs. The method supports objective comparison, informed decision-making, and proportionate investment, ensuring that technology acts as an enabler of defined processes rather than a driver in itself. Overall, it helps organisations select and implement technology solutions that are fit for purpose, scalable, and supportive of long-term Information Management / BIM adoption and continuous improvement.

Protocol · XLSX

Guide the evaluation of proportionate technology options for mobile site capture and CDE participation.

Assists small trade firms in objectively evaluating low-cost mobile applications and CDE field interfaces against usability, ISO 19650 alignment, and cost criteria before deployment.

Included resources

This delivery-team information management plan provides tenderers with a structured set of templates for responding to a project tender in line with ISO 19650. It covers the delivery team’s information-management function, delivery strategy objectives, federation approach, responsibilities, acceptance criteria, capability, mobilisation and risk planning.

Plan · XLSX

Provide delivery-team templates to understand subcontractor information obligations and delivery planning.

Helps the mechanical contractor understand how their information packages fit into their task information delivery plan, the main contractor's master information delivery plan and BIM execution plan, and the client's acceptance procedures under the Capital Works Management Framework (CWMF).
